Waypointe Group Inc. (“Waypointe Group”, “we”, “us”, or “our”) operates the waypointegroup.ca website and associated client platforms (collectively, the “Services”). This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Services or communicate with us.
By accessing our Services you agree to the practices described in this policy. If you do not agree, please discontinue use of the Services.
Contact and enquiry data. When you submit an enquiry through our website forms or email us directly, we collect the information you provide, which may include your name, organisation, email address, telephone number, preferred contact method, general enquiry topic and, for consulting enquiries, a short message. We also record your consent to be contacted and a technical request identifier used to prevent duplicate submissions.
How enquiries are delivered. Website enquiries are received by our server and forwarded to our team by a third-party email service provider. That provider processes the enquiry content in order to deliver it. Enquiry forms and email are not a secure channel for evidence or sensitive case material; please do not submit such information through them.
Usage data. We may collect standard web server logs, including IP addresses, browser type, referring page, and pages visited. This data is used solely for security monitoring and aggregate analytics.
Client platform data. Access to SURVEYOR, CASEFILE, or other provisioned platforms is controlled by Waypointe Group on behalf of the client organisation. Data entered into those platforms (reports, session records, entity information) is processed under the terms of the applicable client agreement and is not used for any purpose beyond service delivery.
We use the information we collect to: respond to your enquiries and communicate with you; assess and fulfil service requests; operate, maintain, and improve the Services; monitor for security threats or unauthorised access; and comply with applicable legal obligations.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
We may share your information with trusted service providers who assist us in operating the Services (such as hosting and email delivery providers), subject to confidentiality obligations. We will disclose information where required by law, court order, or governmental authority.
In the event of a business transfer (merger, acquisition, or asset sale), your information may be transferred as part of that transaction. We will notify affected parties of any such change.
We implement reasonable technical and organisational safeguards to protect information against unauthorised access, alteration, disclosure, or destruction. Client platforms are access-controlled, and session data is stored in encrypted-at-rest databases.
No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.
The public Waypointe Group website does not currently use third-party analytics or advertising cookies. Session cookies may be set by the web server for security purposes only.
Provisioned client platforms (SURVEYOR, CASEFILE) use server-side session cookies strictly necessary for authentication. No tracking pixels or third-party advertising technologies are deployed on those platforms.
Contact enquiry data is retained for as long as necessary to respond to your request and for a reasonable period thereafter in case of follow-up. Client platform data is retained for the duration of the applicable client engagement and deleted or returned upon termination in accordance with the client agreement.
Depending on your jurisdiction, you may have the right to access, correct, or request deletion of personal information we hold about you. To exercise these rights, please contact us at the address below. We will respond within a reasonable timeframe and in accordance with applicable law.
Our website may contain links to third-party sites. We are not responsible for the privacy practices or content of those sites and encourage you to review their privacy policies independently.
We may update this Privacy Policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of the Services following any update constitutes acceptance of the revised policy.
